The registration process

To request a service, you need an IAMconnected account. After creating your account, you connect this account to your organisation. Make sure to first check the registered organisations list for your organisation. If your organisation is not already registered, you can register your organisation. When the registration is approved by the authorised signatory from you organisation and by us, you can request a service. Request a service

Now that you have successfully completed the registration process, you can request a service. You do so by logging into IAMconnected. On the start screen, you can choose between Portbase services and other services.

Have you purchased a service before? If so, log in with your IAMconnected account.

Choose the service(s) you want to purchase

In the service overview you simply select the service(s) you want to request. You then go through four steps in which we request service-specific information. For example, the EAN and/or EORI number, various permits and expected quantities. On each service page is described which service-specific information is needed to request that service.

Your application will be reviewed

After you request a service, we will review your request within one business day. If we have any questions, we will contact you.

Approval by your authorised signatory

If your request is approved by us, your authorised signatory* will receive an e-mail containing the service request form(s). Your organisation’s authorised signatory must approve the service request. In some cases, we also send a direct debit authorisation with the request.

*The authorised signatory is the person who, on behalf of the organisation, authorises the applicant to register the organisation and link it to his/her personal IAMconnected account. In many cases, this will be the founder/CEO of the organisation.

Preparing the service(s)

After receiving the signed application form and any direct debit authorisation, we will prepare the requested service(s) for use. We will keep you informed by e-mail.

If you have chosen a web screen solution, the service will often be ready within one business day. In the case of a system interface, we are dependent on the implementation time of your software vendor. With a system interface, we also give you access to the web screen*.

Who is my authorised signatory?

The authorised signatory is the person listed in the commercial register or someone authorised on behalf of the organisation. In many cases, this is the founder/CEO of the organisation. The authorised signatory is the individual who grants permission on behalf of the organisation for the applicant to register the organisation and link it to their personal IAMconnected account.
*It is possible that you are both the applicant (later main administrator) and the authorised signatory.

Can I change my authorised signatory?

Yes, you can do that on this page. By selecting ‘Contacts’, you will see a list where you can select ‘Authorised Signatory’. Then, you can fill in the details of your new authorised signatory.

Now that your organisation’s registration has been approved, what’s next?

Once you have completed the organisation registration process, you can start using services via www.portbase.com/en/services. After clicking on a service, log in with your personal IAMConnected account.

Which data do I need to provide to Portbase?

During the registration and ordering process, multiple pieces of information are requested to perform a validation check. Data required for the registration process includes a Chamber of Commerce (COC) / DUNS number, as well as external identity verification via CheckedID. For the ordering process, data is requested for billing purposes, such as the VAT number. Additionally, we ask for service-specific information such as EAN or an EORI number. Whether or which service-specific information a service requires, can be found on each service page.

How long does it take before I can start using a service?

After you have placed an order, we will perform a check on several pieces of information. If the data is correct, the agreement will be automatically sent to your authorised signatory. They must sign and return it. Once we have received this, we aim to have the web version ready within 1 business day. If you have chosen a system integration, we are dependent on the relevant software supplier.

How do I request a service with another organisation?

Do you already have an account but are not connected to the organisation for which you want to request a service? You can register a second organisation via IAMconnected. Go to the Organisation Management menu and click on the New Organisation Registration button to register your other organisation.
